Classified Council Meeting Minutes Autzen Conference Room September 13, 2012 Attendance: Quorum was present Leslie Whitaker-President Holli Davenport-Treasurer Kyle House-Vice President Shayne Hollandsworth –Area 6 Representative Veronica Ramos-Area 4 Representative Mary Ann Zielinski-Area 3 Representative Kristen Iseri-Area 5 Representative Amy Schwartz-Area 1 Representative Meeting called to order by Leslie Whitaker, President, at 11:05 am Minutes for May 1, 2012, May 16, 2012 and August 16, 2012, were reviewed and approved. Treasurers report: Attached Committee Reports: Reports to be given at October meeting. Old Business: Craft Fair – Holli made a motion, seconded by Kyle, to hold the Craft Fair (and Bake Sale) on November 1 in the University Center. The motion passed. We had a discussion regarding whether the Council would like to sponsor a table with baked goods – both from the Council and donated. Conversation to be continued. Cookbooks – Leslie gave update on cookbooks. Books have been distributed to HFMA for PR events, Student Expo, and Reunion Weekend. We will also donate some for Family Weekend. We are still planning to have the books available at October Luncheon for free or for a “donation”. Luncheon Budget – Holli gave a report on what the approximate cost of luncheons at a couple of budgeted amounts for decorations/program budget. There was a motion to set the decoration/program budget for luncheons (except December) at a maximum of $175 per luncheon. The motion was approved. Gala of Trees – Kyle made a motion to budget $600.00, out of the operating budget, for the Gala of Trees, and Mary Ann seconded the motion. Motion passed. Theme will be Nature and Sustainability - With all things WU. Newsletter – Article regarding Craft Sale does not clearly indicate the costs and commitments (does not say $10 for table rental). Clarification will be sent out in a group email with complete information (Holli will send to all list serves after Reyna and Leslie have prepared email). Email to go out to staff, faculty and students. Classified Forum – September 25, 8-9 am, location TBD – Word is out that location is Montag Den. We will not advertise this location, but will wait for Human Resources to notify staff. Notebooks for Area Representatives – Leslie passed on Vice-President notebook to Kyle Council Meetings – HR or Representative from President’s Office – Discussion regarding who would be attending and the request to have an individual person responsible in the HR/President’s Office to provide more consistency. Leslie will follow-up on and will work to get a schedule developed prior to next Council meeting. New Business: Expo Report – Reyna and Leslie staffed the table at the recent Expo. It was felt that the exposure of the Council to students was good. Leslie recommended we do the smaller activities fair in February. Upcoming Luncheons – October – Discussed, Photo Contest, Theme -Friends & Family, maybe have Areas dress in theme (shirt color, hats, mittens, etc.) We will announce at the Forum on September 25. Leslie will continue to work on this. December Luncheon – Holiday Luncheon, Council start planning now November Luncheon - Area 5, Kristen and Bev, Kristen will be working on it. Planning Calendar – Leslie will be working on a calendar (year at a glance) with events/activities. Copies will be distributed to Council at the October meeting. Scholarship – Continue to promote scholarship. It was suggested that the students provide a brief follow-up report on how they used the funds. Leslie will work on this and make recommendations/report at October Council meeting.
